Terms of Service
ArdentFlow Terms of Service
Effective October 31, 2026
These terms apply to ArdentFlow LLC’s services at app.ardentflow.app and mcp.ardentflow.app, including MCP Hub. They take effect on the date they are published at ardentflow.ai/terms.
1. The agreement
These terms are a contract between ArdentFlow LLC, a Texas limited liability company (“ArdentFlow”, “we”), and the business that creates an account at app.ardentflow.app (“you”). They cover every service you buy through that account, including MCP Hub, and the connected site at mcp.ardentflow.app.
You accept these terms by creating an account, by checking the box at checkout, or by using the services. The person who accepts confirms they are authorized to bind the business they name as their organization.
If you also sign a separate order form or service agreement with ArdentFlow, that document controls where the two conflict.
2. The services
MCP Hub lets you connect business accounts you own or administer (for example a Webflow site or an Outlook mailbox) and use them from an AI assistant such as Claude through one connector. What the assistant can do with each account is set by the access level you choose (section 5).
Other services listed in the portal (AI Agents, Workflows, AI Receptionist) are described on their service pages. Each is delivered as described there and on your invoice.
The services do not include the AI assistant itself. You need your own subscription to Claude or another compatible assistant, under that provider’s terms. ArdentFlow does not control what an assistant writes or decides; the services only carry out the actions it requests, within the limits you set.
3. Accounts
You must be at least 18 and using the services for a business. Sign-in is by Google, Microsoft or an emailed link; there are no passwords to store. You may turn on two-factor authentication, and we recommend it.
An account belongs to an organization. The owner controls billing, members and connected accounts, and can add or remove members. Each member is responsible for actions taken under their sign-in.
Keep your sign-in methods and recovery codes secure and tell us at hello@ardentflow.ai as soon as you suspect unauthorized access. We may suspend an account to protect you, other customers or the services, and will tell you when we do.
4. Plans, fees and billing
Prices. Current plans and prices are shown in the portal and at ardentflow.ai. Plans are billed monthly or yearly, in advance, in US dollars, by card through Stripe. Yearly plans are discounted against twelve months of the monthly price.
Onboarding fee. Business and Agency plans carry a one-time onboarding fee, charged with the first invoice. When you move up to a tier with a higher fee, you pay only the difference. Onboarding fees are not refundable once the service is activated.
Taxes. Prices exclude sales tax. Tax is calculated at checkout from your billing address and shown on every invoice.
Renewal. Subscriptions renew automatically at the end of each billing period until canceled. For yearly plans we email you 30 days and 7 days before renewal with the amount and the card on file. You can cancel any time before the renewal date.
Plan changes. Moving to a higher tier, or from monthly to yearly, takes effect immediately and the unused part of the current period is credited. Moving to a lower tier, or from yearly to monthly, takes effect at the end of the current period.
Failed payments. If a charge fails, Stripe retries for up to one week and we email you. Service continues during a grace period shown in the portal; after it, access is paused until payment succeeds. Connected accounts and their tokens are kept for 30 days after a subscription ends (section 6).
Cancellation and refunds. You can cancel from the service page. Service continues until the end of the paid period and no further charges are made. Fees already paid are not refunded, except where the law requires it or where we end the service for reasons other than your breach, in which case we refund the unused part of the current period.
Price changes. We may change prices with at least 30 days’ notice by email. A change applies from your next renewal after the notice period.
5. Connected accounts and access levels
Your authorization. When you connect an account, you grant ArdentFlow permission, through that provider’s own sign-in, to act on it as described on the connections page. You confirm you own that account or are authorized by its owner to connect it. You can disconnect any account at any time; we delete the access token and, where the provider offers it, revoke the grant.
Access levels. Every connected account has a level you set:
Read: search and read only.
Draft: read, plus create drafts and staged items that you review before anything goes out. New accounts start here.
Act: draft, plus send drafts and publish staged items. Available on Business and Agency plans. Raising an Outlook account to act requires a separate consent to Microsoft’s send permission.
Your responsibility at act level. At the act level the assistant can send email and publish content on your behalf. You are responsible for what it sends and publishes, for the instructions you give it, and for reviewing its work. Every send and publish is recorded in your audit log with the recipients or item concerned. Act actions are limited to 50 per account per day.
Plan limits. Each plan allows a number of tools and connected accounts. If you go over, for example after moving to a lower plan, the newest accounts are paused until you remove some or move up. Paused accounts keep their tokens and resume when there is room.
6. Customer data and privacy
What we store. Your organization and member details, billing records (card details are held by Stripe, not by us), the list of connected accounts and their labels, access tokens for those accounts, and an audit log of every tool call made through MCP Hub (which tool, which account, when, the outcome, and for sends and publishes the recipients or item id). We do not store the contents of your emails, documents or site pages; they pass through to the assistant and are not retained.
Encryption. Access tokens and two-factor secrets are encrypted at rest with keys held in a managed key service, separate from the database.
Who can see it. Only ArdentFlow staff who need it to support you, under access controls and with their actions audited. We do not sell your data and do not use it to train AI models.
Retention. Audit logs are kept while your account is open. When a subscription ends, connected accounts are paused and their tokens are deleted 30 days later; subscribing again before then restores them. Encrypted database backups are kept for 12 weeks.
Security incidents. If we confirm a breach of security that affects your data, we notify the organization owner by email without undue delay and no later than 72 hours after confirming it, with what we know and what we are doing. A data processing addendum for customers with GDPR or similar obligations is available on request.
Deletion. You can request deletion of your organization from the Account page or by emailing hello@ardentflow.ai. We delete tokens immediately, revoke grants where the provider allows it, and remove the rest of your data within 30 days, except billing records we must keep for tax and accounting.
Privacy policy. Our Privacy Policy at ardentflow.ai/privacy explains this in more detail and forms part of these terms.
7. Acceptable use and third-party services
You agree not to: connect accounts you are not authorized to use; send unsolicited bulk email or anything unlawful, deceptive or infringing; probe, overload or interfere with the services; share your connector URL or sign-in with people outside your organization; or resell access without a written agreement with us.
Your messages. Anything sent or published through a connected account at your instruction is your communication. You are responsible for complying with laws that apply to it, including CAN-SPAM, the TCPA and the privacy laws of the places you send to, and for honoring unsubscribe and do-not-contact requests.
Third-party terms. Using a connected account through MCP Hub is also governed by that provider’s terms (for example Microsoft, Webflow, Google), and using an AI assistant by its provider’s terms (for example Anthropic’s for Claude). Payments are processed by Stripe under Stripe’s terms. If a provider changes or withdraws access, we will do what we reasonably can to adapt, but we cannot guarantee a connection will keep working.
8. Availability, support and changes
We aim to keep the services available at all times but do not promise uninterrupted service. We will tell you in advance about planned maintenance when we can.
Support is by email at hello@ardentflow.ai during US business hours, with the response time stated on your plan. Business and Agency plans include onboarding help as described on the service page.
We may improve, change or retire features. If we retire a feature you rely on, we give at least 30 days’ notice, and if we retire a whole service you may cancel and receive a refund of the unused part of your current period.
9. Intellectual property, disclaimers, liability
Ours and yours. ArdentFlow owns the services, their software, design and documentation. You own your data, your connected accounts and everything the assistant creates for you through them. You give us only the permission needed to run the services for you.
DISCLAIMER. THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE”, WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE. We do not warrant that the services will be error-free, that any connection will keep working, or that an AI assistant’s output will be accurate, complete or suitable for a purpose. You are responsible for reviewing what the assistant drafts, sends and publishes.
LIMITATION OF LIABILITY. TO THE EXTENT THE LAW ALLOWS, ARDENTFLOW IS NOT LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL OR CONSEQUENTIAL LOSS, LOST PROFITS, OR LOST DATA, HOWEVER CAUSED, INCLUDING BY NEGLIGENCE, AND OUR TOTAL LIABILITY FOR ALL CLAIMS ARISING FROM THE SERVICES IS LIMITED TO THE FEES YOU PAID US IN THE 12 MONTHS BEFORE THE FIRST CLAIM. This limit does not apply to your payment obligations, your indemnity, or liability that cannot be limited by law.
Indemnity. You will defend and compensate ArdentFlow against third-party claims arising from your content, your connected accounts, the instructions you give an assistant, or your breach of these terms.
Confidentiality. Each party keeps the other’s non-public information confidential and uses it only for this agreement, for three years after it ends, except information that is public, already known, independently developed, or required by law to be disclosed.
Feedback. If you send us suggestions about the services, we may use them without obligation to you.
10. Term, termination, law and changes
Term. These terms apply from the day you create an account until your account is deleted.
Termination by you. Cancel any service from its service page, or delete your organization from the Account page.
Termination by us. We may suspend or end your access immediately if you breach these terms, fail to pay after the grace period, or use the services in a way that risks harm to others or to the services. For any other reason we give 30 days’ notice and refund the unused part of your current period.
Governing law and disputes. These terms are governed by the laws of the State of Texas, without regard to its conflict-of-law rules. Any dispute will be brought in the state or federal courts in Harris County, Texas, and both parties consent to that venue. Before filing, each party agrees to try to resolve the dispute by discussion for 30 days.
Changes to these terms. We may update these terms. Material changes are announced by email at least 30 days before they apply; continuing to use the services after that date accepts them. The current version is always at ardentflow.ai/terms.
General. If a part of these terms is unenforceable, the rest still applies. Neither party is liable for delay caused by events outside its reasonable control. You may not assign these terms without our consent; we may assign them in a sale of the business. These terms, the order form if any, and the Privacy Policy are the whole agreement.
Survival. Sections 6, 9 and 10, and any unpaid fees, survive the end of this agreement.
Notices. We send notices to the organization owner’s email address on file; you send notices to hello@ardentflow.ai. A notice is received on the business day it is sent.
