ArdentFlow builds and runs AI agents for businesses. This policy explains what information we collect, how we use it, and the choices you have. It covers our website, ardentflow.ai, and the AI agent services we run for our clients.

1. Who this policy applies to

  • Website visitors: anyone who visits ardentflow.ai, fills out a form, or subscribes to our newsletter.

  • Clients: businesses that hire ArdentFlow to run an AI agent.

  • Client contacts: people whose information lives in a client's systems (their leads, customers, and subscribers). We process that information on the client's behalf and under the client's instructions.

2. Information we collect

On the website

  • What you give us: name, email, phone, company, and anything you write in a form.

  • What our tools record: pages visited, browser type, device, approximate location, and how you reached the site. We use this for analytics and to fix problems.

When we run an agent for a client
A client connects the apps the agent needs, such as a CRM, an email campaign tool, an inbox, ad accounts, analytics, or a website. The agent reads and, where the client allows it, writes data in those apps. Which apps, and what the agent may do in each, is written down for every client before the agent runs. The agent never gets more access than the job needs.

3. Google user data

Some agents connect to a client's Google account. We request only the permissions the job needs:

Permission

What the agent does with it

Gmail, read

Reads new messages so it can qualify website leads and prepare replies

Gmail, send

Sends the first reply to a new lead, using a template the client approved

Google Ads, read

Reads spend and results for the client's reports

Google Analytics, read

Reads website traffic and conversions for the client's reports

Google Search Console, read

Reads search performance for the client's reports

How we use it. Only to run the agent the client hired us to run. Gmail content is read to identify and answer leads and is not used for anything else.

How we store it. Gmail messages are processed when the agent runs and are not kept beyond what the run needs. Summaries the agent writes (for example, "lead qualified, reply sent") are stored in the client's own record and show the action taken, not the full message. Access tokens are stored encrypted and are never written into prompts, logs, or files.

How we share it. We do not sell Google user data, use it for advertising, or share it with anyone except the client it belongs to and the service providers in section 5 that are needed to run the agent.

Revoking access. A client can disconnect Google at any time from their Google Account permissions page (myaccount.google.com/permissions). We delete our stored token the same day.

ArdentFlow's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

4. How we use information

  • To run the agents our clients hire us to run.

  • To reply to you when you contact us.

  • To send our newsletter, if you subscribed. Every email has an unsubscribe link.

  • To understand how the website is used and improve it.

  • To keep our systems secure and meet legal obligations.

We do not sell personal information. We do not use client data or client contacts' data to train AI models.

5. Service providers

We use a small number of providers to run our business and our agents. Each one receives only what it needs:

  • Anthropic: the AI agents run on Anthropic's Claude platform. Data an agent reads is sent to Anthropic to be processed and is handled under Anthropic's commercial terms, which do not permit training on it.

  • Framer: hosts this website.

  • Analytics and form tools on the website.

  • Automation platforms (Make, Zapier, n8n) when a client's app connects through one.

We may also disclose information if the law requires it, or to protect our rights, safety, or property.

6. Clients and client contacts

When ArdentFlow runs an agent for a client, the client decides what data the agent may access and what it may do. We act on the client's instructions. If you are a client's lead or customer and have a question about your information, contact that business directly; we will help them respond.

7. Retention

  • Website form submissions and newsletter data: until you ask us to delete it or unsubscribe.

  • Agent run records (what the agent read, decided, and changed): for the length of the client engagement plus 12 months, so the client has an audit trail.

  • Client credentials: deleted when the client disconnects the app or the engagement ends.

  • Gmail message content: not retained after the run that used it.

8. Security

Credentials are stored encrypted and are substituted into requests at the moment they leave our systems, so the agent itself never sees them. Every agent gets the narrowest permission that does the job. Every run is logged. Write access to a client's systems is granted only after the client signs off, and anything the agent is unsure about stops and asks a named person.

9. Your choices

  • Access, correct, or delete your information: email us at hello@ardentflow.ai.

  • Unsubscribe from the newsletter: use the link in any email.

  • Disconnect an app from an agent: a client can revoke access in the app at any time.

If you live in a region with specific privacy rights (for example, California, the EU, or the UK), you may have additional rights, including the right to know what we hold and to ask us to delete it. Email us and we will respond within 30 days.

10. Children

Our website and services are for businesses and are not directed at anyone under 18. We do not knowingly collect information from children.

11. Changes

If we change how we handle Google user data or any other personal information, we will update this page and change the effective date. For material changes affecting clients, we will notify them before the change takes effect.
