Built for personal injury, family, criminal defense, immigration, estate planning, and small general practice firms. Works with your existing number and your existing case management software.

THE PROBLEM

Why do law firms lose so many cases before the first meeting?

Legal matters do not begin during business hours. Accidents happen at night. Arrests happen on weekends. Someone deciding to file for divorce makes that call when they finally work up the nerve. The firm that answers that call is usually the firm that gets the case, and the second call a prospective client makes is almost never to the firm that sent them to voicemail.

The first firm to answer usually wins the case

Prospective clients call several firms in one sitting. They are not comparing credentials at that moment — they are looking for someone who picks up. A firm that answers on the first ring is competing on availability, which is the only thing the caller can evaluate before they’ve spoken to anyone.

Legal calls come after hours by nature

The accident happened at 11pm. The arrest was Saturday. A firm covering nine to five is uncovered for the majority of the week, and it’s uncovered precisely during the hours when the events that create cases actually happen.

Intake takes longer than a message

A useful intake is not a name and number. It’s what happened, when, whether anyone was treated, whether there’s a police report, whether a deadline is running. Voicemail captures none of it, and the caller rarely repeats it as completely the second time.

Your paralegals aren’t a switchboard

Every intake call a paralegal fields is time not spent on active matters. The calls that interrupt the most are rarely the ones worth interrupting for — they are process servers, opposing counsel’s assistants, and sales calls.

INTAKE

Can an AI receptionist run legal intake?

Yes, on the intake script your firm already uses. ArdentFlow’s AI receptionist captures the facts of the matter, the date it occurred, the parties involved, and the caller’s contact information, then pushes a complete intake record to your case management system within seconds of the call ending. It is configured to gather information and route, not to advise — your firm defines where that line sits, and it does not tell a caller whether they have a case.

Captures conflict-check names first

Configured to record every party the caller mentions before anything else, so the check can run before an attorney speaks to them.

Flags what’s time-sensitive

A caller describing a recent accident or an approaching deadline reaches an attorney immediately; a general inquiry doesn’t.

Never gives legal advice

Configured to collect facts and schedule the consultation. Questions about the merits of a matter are routed to an attorney — set during onboarding and tested before the AI takes a live call.

WHAT IT DOES

What can an AI receptionist do for a law firm?

ArdentFlow’s AI receptionist answers inbound calls, identifies whether the caller is a prospective client, an existing client, opposing counsel, or a vendor, runs your intake script for new matters, schedules consultations, and routes anything urgent to the attorney on call.

ONBOARDING

How fast can a law firm go live?

Five business days from kickoff to live calls. ArdentFlow writes the intake logic against your firm’s existing script, connects it to your case management software, and routes your existing number to the AI. No developer time and no phone system replacement.

5

business days

kickoff to live calls

1

Map your intake and escalation rules.

A 20-minute kickoff: your practice areas, your intake questions, what counts as urgent, and which attorney takes what.

2

Build against your actual script.

Intake logic written from your firm’s own questions, then stress-tested on conflict capture, urgency flagging, and the refusal to give advice — before any live caller reaches it.

3

Point your existing line at the AI.

Keep the number on your website, your signage, and your referral sources. No porting, no new number.

4

Go live, then tune from week one.

We review the first week of intake records together — what was captured, what was missed, what escalated correctly — and sharpen the script.

COST COMPARISON

Is an AI receptionist cheaper than a legal answering service?

Legal answering services bill per call or per minute, which means the busiest weeks cost the most — and the busiest weeks are the ones producing cases. ArdentFlow is $497 a month flat plus $0.12–$0.18 per minute. For a firm where a single retained matter is worth more than a year of either, the number that matters is how many calls get answered.

FAQ

Law firm AI receptionist FAQ

Can an AI receptionist give legal advice?

Not unless you configure it to, and no firm does. ArdentFlow builds the AI to capture facts, schedule consultations, and route urgent matters. Where the line sits between answering a routine question and routing to an attorney is set by your firm during onboarding.

How does it handle conflict checks?

It captures whatever names you specify. ArdentFlow configures the intake to record the parties your conflict process requires — opposing parties, insurers, employers — as structured fields, so your team can run the conflict check before an attorney speaks with the caller. The AI does not run the check itself.

Does it integrate with Clio or Filevine?

Yes. Intake records, transcripts, and call outcomes push into Clio, Filevine, MyCase, or Litify. Growth and Premium plans include Make.com automation for case management software without a native connection. We confirm your system on the discovery call.

What happens with a caller who’s in crisis?

Whatever rules you define. ArdentFlow configures crisis handling during onboarding — immediate routing, directing to emergency services, or both. This is set deliberately rather than left to the AI’s judgment.

Will prospective clients know it’s an AI?

The voice is natural enough that many callers don’t ask. ArdentFlow recommends disclosing it in the greeting, and most firms do — particularly in regulated practice, where the disclosure avoids questions later. It has not measurably reduced consultation bookings in our deployments.

Is the call confidential?

Calls are recorded and transcribed, and those records live in the systems you control. Prospective client communications are not privileged in the same way existing client communications are, but your firm should confirm how call recording interacts with your jurisdiction’s rules before going live.

Can it screen opposing counsel and process servers?

Yes. The AI identifies the caller type and routes accordingly — opposing counsel to the handling attorney or a designated inbox, process servers per your firm’s procedure, sales calls screened out. Your paralegals stop being the switchboard.

Can it handle Spanish-speaking callers?

Yes, included in every plan. The AI detects the caller’s language within the first sentence and runs the full intake in Spanish, capturing the same fields it captures in English. There is no separate line and no transfer.

How much does it cost?

ArdentFlow plans start at $497 per month with a $1,997 setup fee, including 500 voice minutes. Growth is $897 with 1,000 minutes, Premium is $1,497 with 2,000 minutes and two agents. Overages run $0.12–$0.18 per minute. Month-to-month.

What size firm is this for?

ArdentFlow builds for firms from solo practice to roughly 50 attorneys, where intake calls are answered by whoever is available rather than a dedicated intake team. Below about 30 calls a month the economics rarely justify it.

ArdentFlow also builds an AI receptionist for Houston law firms — bilingual intake, local onboarding.
